Inventory groups organize related products under a shared catalog name. Prepare groups before linking inventory items to them, so your team uses consistent names across products and related services or diagnoses.

A group is a catalog record. Its preparation sheet has no quantity, package size, price or lot columns; prepare each physical product and its stock in the inventory guide.

Download your preparation sheet

Both downloads are blank UTF-8 preparation sheets, with one row per group. CSV upload in Catalog import currently supports Inventory only. Enter group records manually in the Inventory Group tab, or coordinate the completed sheet with your onboarding team. Do not upload a group sheet as inventory.

Start with name and type

Use Name for the exact group name your team recognizes. Keep distinct presentations or group meanings separate when needed; similar spelling does not prove that two records are the same.

Type is required. You can prepare the supported choices in English or Spanish:

English Español
Medicine Medicina (also Medicamento)
Merchandise Mercancía
Diagnostics Diagnóstico
Solution Solución
Diluent Diluyente
Accessory Accesorio
Supplies Insumos
Medical equipment Equipo médico

For example:

Name,Type
Clinic supplies,Supplies

The shared catalog validator recognizes supported English and Spanish headers and choices, including existing internal codes. A group name is your data: it is preserved, not translated. Do not include both Name and Nombre as separate columns for the same field. Unknown types need review rather than an automatic guess.

Optional fields in the full sheet

Field What to prepare
Vaccine Yes/No for a group that represents vaccines. This does not record a vaccination.
Tags Your catalog labels, as a comma-separated list or JSON text list.
Manufacturer The confirmed manufacturer name.
Supplier One existing supplier's exact name or record ID from this clinic.
Commission enabled / Commission options The approved setting and percentage choices from 0 to 100, such as 5,10. Leave commissions off if they are not approved.
Questionaire / Instructions Whether instructions use prompts, and the approved instruction text or configured instruction names for that mode. Confirm the intended setup with the clinic before saving.
Sub type Optional text for your clinic's more detailed classification.

Yes/No, Sí/No, true/false and 1/0 are supported Boolean choices. Keep names and tags in their original language. In a CSV, quote a cell containing commas; use a JSON text list such as ["Label, with comma","Other label"] when a single list entry contains a comma. Spreadsheet CSV export handles the surrounding CSV quotes.

Link groups to products deliberately

  1. Save suppliers first if a group needs a supplier link.
  2. Save the group in the target clinic.
  3. In the inventory row, choose that group or put its exact name in Inventory Group in the inventory CSV. One inventory item links to one group.
  4. Set the inventory item's Suppliers separately. A supplier on the group does not fill the item's supplier list automatically.

Missing or ambiguous relationships must be resolved before Save Records. Do not copy IDs from another clinic. Creating a group alone does not assign existing inventory items to it or combine duplicate products.

Review and save

Open Inventory > Manage > Add (+) > Import as an administrator, then choose Inventory Group. Review required fields, optional settings and clinic-owned links. Save locally keeps a browser draft; it does not create the group. Download a draft backup if you need a copy before clearing browser storage. Save Records creates reviewed records in batches of up to 20; saved rows stay saved if a later row fails. Reuse the same draft to correct and retry remaining rows.

Keep your original export and resolve duplicate names before saving. This page creates new catalog records; it does not merge or overwrite existing groups.
